Program Director

The Program Director manages program execution, outreach coordination, and program administration.

Primary Focus: Collaborate with Board, staff, FWDC artists, stakeholders and community partners to ensure the effective delivery of FWDC’s Parkview Healing Arts program, community outreach programs, scheduling systems, partner communications and program evaluation.

Summary of Responsibilities

  • Manage all outreach programs including Parkview Healing Arts, community partnerships, scheduling and documentation
  • Serve as FWDC’s primary administrative liaison to Parkview for scheduling, reporting  and communication
  • Maintain accurate program calendars, logistics, reports and program data.
  • Assign teaching artists and contractors to outreach programs in consultation with the Artistic Director
  • Provide administrative evaluation and follow-up for teaching artists (artistic evaluation conducted by the Artistic Director)
  • Ensure all programs operate efficiently and align with FWDC’s mission 

Program Management & Development

  • Administer FWDC’s community outreach programs, ensuring stability, quality and partner communication
  • Serve as primary administrative liaison for Parkview Healing Arts (scheduling, documentation, quarterly reporting, and partner communication)
  • Maintain a comprehensive programming calendar including schedules, deadlines and logistical needs
  • Ensure completion of program documentation including contractor hours, attendance, demographic data and reporting requirements
  • Lead weekly communication with teaching artists and outreach program staff
  • Support assessment of community needs and partnerships that align with FWDC’s mission 

Outreach & Community Partnerships

  • Serve as FWDC’s primary point of contact with outreach partners (schools, organizations and Parkview)
  • Maintain ongoing communication with partner sites, ensuring clear expectations and problem resolution
  • Track program impact through demographic data, attendance, surveys and evaluation tools
  • Maintain updated partner and program records
  • Represent FWDC at outreach events as appropriate
  • Share program insights and partner feedback with the Artistic Director to support artistic alignment 

Operational & Logistical Support

  • Work with the Director of Operations to monitor outreach budgets and documentation
  • Oversee onboarding and administrative evaluation of outreach instructors and Healing Arts contractors (artistic evaluation by Artistic Director)
  • Ensure compliance with program funding requirements and prepare related reports
  • Monitor procedural compliance and follow up on issues with teaching artists and partners
  • Coordinate documentation systems that feed directly into Operations for payroll and payment processes
  • Maintain supplies and program-related administrative materials
  • Maintain organized electronic and physical program files 

Reporting Structure

Reports day-to-day to the Board President
Reports formally to the Executive Committee

Works collaboratively with:

  • Artistic Director (artistic supervision, artistic evaluation)
  • Director of Operations (administrative systems, budget tracking, reporting) 

Coordinates administratively with teaching artists and partner organizations

Skills & Qualifications

  • Minimum 2–3 years experience in program administration, education coordination, nonprofit programs, or related fields
  • Strong organizational and administrative skills with attention to detail
  • Ability to manage multiple programs, deadlines, and partners simultaneously
  • Experience working with community organizations, schools, hospitals, or partner institutions (preferred)
  • Strong communication and relationship-building skills
  • Comfortable with data tracking, scheduling systems, and program documentation.
  • Proficient with email, Google Workspace, spreadsheets, and document management systems
  • Ability to work independently, take initiative, and problem-solve
  • Background or interest in the arts, education, healthcare arts, arts integration, or nonprofit programming (preferred)
