Position Overview

The Marketing & Communications Coordinator provides tactical marketing execution support for Fort Wayne Dance Collective (FWDC). This role is responsible for implementing approved marketing activities that support program visibility, audience engagement, and organizational communications.

The Marketing & Communications Coordinator operates under strategic direction and priority-setting from the Marketing Committee and coordinates day-to-day execution with the Director of Operations & Programs and Artistic Director to ensure accuracy, timing, and operational readiness.

This position is execution-focused and does not own marketing strategy, organizational strategy, or program development decisions.

Core Responsibilities

Marketing Execution & Content Support

  • Lead Marketing strategy with approval and direction of the Executive Committee, Marketing Committee and staff approved marketing activities and campaigns as directed by the Marketing Committee.
  • Draft, format, schedule, and publish marketing content, including:

    • Email communications (as instructed)
    • TextTo Campaign
    • Google SEO
    • Google AdWords
    • Social media posts
    • Website updates
    • Ad Trades
    • Digital and print promotional materials (as needed)
  • Ensure all marketing materials align with FWDC’s brand standards, mission, and approved messaging.

Program & Event Promotion

  • Support marketing needs for FWDC programs, classes, performances, and special initiatives.
  • Coordinate with the Director of Operations & Programs and Artistic Director to:

    • Receive accurate and current program information
    • Confirm dates, locations, staffing readiness, and capacity
    • Ensure programs are operationally ready prior to public promotion
  • Collaborate with the Artistic Director for artistic context, imagery, and messaging alignment when promoting performances or artistic initiatives.
  • Collaborate with the Director of Finance & Strategy to promote strategic initiatives.

Marketing materials should not be released publicly until program readiness is confirmed through coordination with the Director of Operations & Programs.

Coordination & Communication

  • Work under the Director of Operations & Programs with strategic guidance by the Marketing Committee, implement agreed-upon priorities, campaigns, and timelines.
  • Participate in Marketing Committee check-ins as requested.
  • Maintain clear, timely communication with FWDC staff to ensure consistency and accuracy.
  • Track assigned deliverables, deadlines, and status updates to support reliable execution.

Scope & Boundaries

The Marketing Contractor does not:

  • Own or integrate organizational strategy or long-term plans
  • Make independent decisions about program offerings, pricing, or scheduling
  • Manage external partner relationships
  • Perform program management or operational duties

This role is intentionally limited to marketing execution and coordination.

Performance Feedback & Evaluation

  • The Director of Operations & Programs provides overall performance evaluation, feedback, and evaluation of the Marketing Committee’s strategic directions.
  • The Artistic Director & the Marketing Committee provides operational feedback related to accuracy, timing, coordination, and execution readiness.
  • Feedback from both sources is used to support clarity, effectiveness, and continuous improvement.

Qualifications & Experience

  • Experience in marketing strategy, execution, communications, or digital content management
  • Familiarity with social media platforms, email marketing tools, and basic website updates
  • Strong writing, editing, and organizational skills
  • Ability to manage multiple deadlines independently
  • Comfort working within a committee-led structure
  • Alignment with FWDC’s mission and values
  • Graphic design and photography preferred but not required
  • Experience in arts, nonprofit, or community-based organizations is preferred but not required.

Working Relationships

This role works closely with:

  • Marketing Committee (strategy, direction, priorities, approvals)
  • Director of Operations & Programs (supervision of program coordination, readiness, timing and implementation)
  • Artistic Director (artistic context and performance promotion)
  • President of the Board & Executive Committee (as needed for major announcements)

Contract Scope & Review

The scope, hours, and priorities of this role may be adjusted based on organizational needs and marketing capacity. Performance and workload will be reviewed periodically by the Director of Operations & Programs with coordination with staff leadership & committees.
